Studio Jovo is a virtual receptionist platform that integrates with Mindbody to automate bookings and client communications for fitness and wellness studios. This Privacy Policy explains how we collect, use, and protect the data we access and process on behalf of our partner studios.
1. Information We Collect
Through our Mindbody integration and user interactions, we collect and process the following types of information:
a. Studio & Operational Data
- Class schedules and availability
- Facility hours, locations, and descriptions
- Staff and instructor information
- Services offered (e.g., yoga, massage, pilates, etc.)
- Membership and pricing information
- Promotions or introductory offers
b. Client Information
- Client names, phone numbers, addresses, and email addresses
- Booking history and preferences
- Membership status
- Notes or special requests submitted through calls or interactions
c. Payment-Related Info
- References to transactions or passes (e.g., verifying if a client has a valid pass for a class)
- Credit card information for processing payments (we do not store this information)
Note: While we process credit card information for payments, we do not store this data. All payment processing is handled securely through Mindbody's systems.
d. Call & Interaction Data
- Call logs and timestamps
- Transcripts of voice interactions (when consented to)
- Usage analytics (e.g., what services were most frequently requested)
2. How We Use This Information
We use this data solely to power Studio Jovo's AI receptionist features, including:
- Answering incoming client calls and questions
- Handling class bookings, cancellations, and reschedules
- Checking client eligibility and membership status
- Responding to inquiries about services, pricing, and availability
- Sending reminders or confirmations (via voice or text, if enabled)
- Improving our AI accuracy and support tools
3. Data Sharing & Disclosure
We only share data in the following circumstances:
- With the studio owner or administrators to enable booking or support workflows
- With Mindbody via API, to execute operations such as booking, cancellation, or client verification
- With service providers under strict confidentiality (e.g., hosting infrastructure, transcription service)
- When required by law, such as in response to a legal request or court order
We do not sell or share personal data with advertisers or unrelated third parties.
4. Data Security
We take data security seriously and employ:
- End-to-end encryption in transit
- Authentication for all API requests
- Role-based access control
- Secure storage of minimal session data, only as needed
5. Data Retention
We retain information only as long as required for operational and legal purposes. This includes:
- Interaction logs (for quality and troubleshooting)
- Client history (only if relevant to ongoing operations)
Studios can request data export or deletion at any time.

If you are a client of a studio using Studio Jovo, you have the right to:
- Access, correct, or delete your information
- Request details on how your data is used
- Withdraw consent for data collection (where applicable)
